FAQ's for SUPPLIERS

How do I qualify to attend the Elite Meetings Alliance?

Do you meet the following criteria?

  • Are you a meeting decision maker?
  • Do you book groups of 25 room nights per night or more?
  • Do you book multiple events per year?
  • Do you book an average room rate of $200 or more per night?

Once we receive your application, we'll review it for approval. After verifying your event history and future booking needs, we will notify you promptly regarding your acceptance.

Who will be attending the EMA?

Top meeting and incentive planners, hoteliers representing Elite Certified hotels, and select partners will be in attendance.

What does the EMA cost?

Ready for this? There is No Charge to attend EMA for qualified meeting planners. Complimentary items include accommodations at the host property, ground transfers from the nearest airport, and all event-related food and beverage. Attendees are responsible for airfare. Additional information will be provided in Update Newsletters once approved to attend.

Can I attend more than one EMA per year?

Yes. Once you register and are approved to attend your first EMA, you may automatically attend a second EMA within the calendar year, providing the second EMA’s hotel participants are a good fit for your anticipated event needs. You must actually attend the first EMA in order to qualify for future participation.

When and where should I plan on arriving/departing?

The EMA is structured around a 4-day pattern typically following a Saturday – Tuesday schedule. However, there are some exceptions so please note the dates of the event you are interested in attending. We recommend planners arrive on day 1 to join the Planner Reception and depart no earlier than day 4 afternoon. You will receive more details regarding the recommended airport and times in the approved attendee Update Newsletters.

Will there be transportation from the airport?

Yes, complimentary transportation will be provided from the nearest airport. Additional information, including available ground transportation will be provided during registration.

May I bring a personal guest?

Personal guests are welcome to attend EMA sponsored social events, including meals and receptions. A guest registration can be added to your EMA registration for an additional $600 fee. Please note, having a guest accompany you to the EMA, does not relieve your expected attendance and participation at all group functions.

May I arrive early or extend my stay?

Yes. Most of our host properties offer discounted rates if you would like to extend your stay. Please do not make extended travel arrangements without receiving confirmation of your requested check-in and checkout dates.

How many one-on-one appointments am I required to make?

Planners are required to schedule and attend 20 pre-schedule appointments. You will be notified via e-mail once the appointment booking window opens.

What are CMP Credits?

CMP Credits refer to the Certified Meeting Professional Program run by the Convention Industry Council. As part of the application process, individuals must complete 25 clock hours of industry-related continuing education in courses that relate to one of the domain areas of the CMP International Standards. What should I wear?

Business Casual attire is recommended. Any themed or outdoor events requiring alternate attire will be detailed in the Update Newsletters. We recommend dressing in layers as indoor temperatures and individual comfort vary.

Am I allowed to bring signage and collateral to the event?

We encourage Hoteliers and Sponsors to bring minimal collateral, as signage is provided at your tabletop. You are encouraged to utilize electronic collateral. Received electronic collateral will be uploaded and accessible in our Elite Meetings Alliance mobile app, powered by CrowdCompass. Please contact Lauren Allison to have your collateral updated.

Are there additional opportunities to promote my property at the event?

Yes! You may provide a prize to be raffled off to meeting planners at the event which gives your property maximum exposure. Common prizes include: 1-5 night stays at your property, spa gift-certificates, and gift baskets.
